This Privacy Policy explains how MyHotips collects and uses personal information when you visit myhotips.com, create an account, contact us, leave a comment or choose to receive emails from us. It also explains your choices and your rights under the UK GDPR, the Data Protection Act 2018 and the rules on electronic communications and cookies.
Who We Are and How to Contact Us
The controller responsible for this website is [[INSERT THE LEGAL NAME OF THE PERSON OR BUSINESS OPERATING MYHOTIPS]], trading as MyHotips.
Website: myhotips.com
Privacy enquiries and data protection complaints: contact@myhotips.com
Information We Collect
The information we collect depends on how you use the site:
- Visits and security: your IP address, browser and device information, pages requested, approximate date and time of access, referring page, cookie choices and technical records needed to run and protect the website. Our hosting or security providers may also keep server logs.
- Website accounts: your username, email address and any name or profile details you provide. WordPress stores information needed to authenticate your account, including a protected password hash; we do not ask you to email us your password. We also keep records of account requests and optional email choices where you make them.
- Contact form and enquiries: your first name, optional last name, email address, subject and message. The MyHotips contact form stores the enquiry privately in WordPress and sends a notification to our contact inbox. It records whether you separately chose to create an account or receive optional emails.
- Comments, where enabled: the details you enter, your IP address and browser information for moderation and spam prevention. Approved comments and the name you choose to display may be public.
- Optional emails: the email address and any name you provide, the wording and time of your choice, subscription and unsubscribe status, and delivery information held by the email service. That service may also record opens or clicks if those features are enabled.
- Cookies and third-party content: information described in the Cookies and Advertising sections below when those features are used.
We normally collect this information from you or your device when you use the site. We do not ask for card or bank details through the MyHotips contact form or account registration.
Why We Use Information and Our Lawful Bases
UK data protection law requires a lawful basis for each use of personal information. We use information for the following purposes:
- To operate requested website accounts: our legitimate interests in providing and managing the account you ask us to create, including sign-in, password setup and account administration.
- To answer enquiries and deal with requests: our legitimate interests in responding to people who contact us and keeping a record of the conversation.
- To publish and moderate comments, where enabled: our legitimate interests in operating a useful and safe discussion area.
- To secure the site, prevent abuse and troubleshoot faults: our legitimate interests in maintaining a reliable and secure service, and, where applicable, our legal obligations to protect personal data.
- To send optional MyHotips emails about guides, reviews, downloads, recommendations or offers: your consent, when you have actively requested those emails. We send account setup, password-reset and other necessary account messages separately from optional emails.
- To use optional analytics or advertising technologies that require consent: your consent for storing or accessing information on your device and, where personal data is used, the applicable UK GDPR basis. See Cookies and Advertising below.
- To handle your data rights, complaints, legal duties and disputes: compliance with a legal obligation or our legitimate interests in establishing, exercising or defending legal claims, as appropriate.
Where we rely on legitimate interests, these are the specific interests described above. We consider your rights and expectations before using your information on that basis.
You do not have to create an account or subscribe to optional emails to read most MyHotips content. An email address is needed if you want an account, an email reply or email updates; the contact form also needs the fields marked as required so that we can handle your message.
Accounts, Contact Messages and Security Emails
Creating a MyHotips account does not, by itself, subscribe you to optional marketing emails. The contact form's account and Member Extras choices are separate. If you ask for an account, WordPress may send a setup link, password-reset email or password-change confirmation. These are account and security messages, not newsletter sign-ups.
Contact messages are available to authorised site administrators and are also sent to the MyHotips contact inbox so that we can reply. Our contact form uses short-lived technical controls to reduce duplicate submissions and abuse.
Optional Email Updates and Your Choices
You may choose to receive MyHotips Member Extras, including newsletters, new reviews, practical guides, free downloads and occasional recommendations or offers. This choice is optional and separate from creating an account or sending an enquiry.
Where the current WordPress registration or contact-form integration is enabled, choosing Member Extras sends your email address and the name you supplied, if any, to Systeme.io, the email platform used for that programme. MyHotips records the wording, date and source of your choice. The email platform manages delivery and unsubscribe status. Choosing not to receive Member Extras does not send your contact-form enquiry to Systeme.io through that integration.
You can stop optional emails using the unsubscribe link in an email or by writing to contact@myhotips.com. We may keep a limited suppression record so that we do not add an opted-out address back to a marketing list. Unsubscribing does not stop necessary account or security messages.
An old website account or a change to this policy is not treated as new permission for optional emails. We use a historic email choice only to the extent that we can establish what the person originally asked to receive.
Affiliate Links, Advertising and Analytics
Some MyHotips articles link to retailers, products or services. We may receive a commission if you follow an affiliate link and make a qualifying purchase. A link may include a referral identifier so the partner can attribute the visit or purchase. When you leave MyHotips, the destination site's own privacy information and cookie choices apply. We do not receive your card details from the retailer.
If third-party advertising or analytics is used on MyHotips, the provider may receive information about your visit and may use cookies or similar technologies. Advertising technologies, including affiliate tracking on our site, require consent where UK cookie rules apply. We do not treat consent to website cookies as consent to receive marketing emails.
Who Receives Your Information
We share information only where needed for the purposes described in this policy. Depending on the feature you use, recipients can include:
- our web host, domain and technical maintenance or security providers;
- the email service that sends account notifications and receives contact-form messages;
- Systeme.io for Member Extras details that you have chosen to submit through the connected registration or contact form;
- spam-prevention services used for comments or forms, if enabled;
- analytics and advertising providers that are actually active, subject to the applicable choices and rules; and
- authorities, advisers or others where we are legally required to disclose information or need to establish, exercise or defend a legal claim.
Our site is built on WordPress. Where comments and Gravatar profile pictures are enabled, an anonymised string derived from a commenter's email address may be sent to Gravatar to check whether that service is used. A public profile image may appear next to an approved comment.
We do not sell a list of registered users or contact-form enquiries to advertisers. External retailers and services reached through links are responsible for their own handling of information you give them.
Processing Outside the UK
Some hosting, email, analytics or advertising suppliers may process information outside the UK. Where a transfer is restricted by UK data protection law, we must use an applicable UK adequacy regulation or another approved safeguard, such as the UK International Data Transfer Agreement or UK Addendum, unless a lawful exception applies. You can ask us for information about the safeguard relevant to your data by emailing contact@myhotips.com.
How Long We Keep Information
We keep personal information only for as long as it is needed for its purpose, taking account of follow-up requests, security, legal obligations and potential claims:
- Account information is kept while the account is active. After an account is closed, limited information may remain temporarily in backups or where needed for security, legal duties or disputes.
- Contact enquiries are kept while we deal with the message and for a period needed for reasonable follow-up or potential claims. We remove or anonymise messages when we no longer need them.
- Comments normally remain while the related discussion is published, unless a removal request or another reason requires action. Technical spam-prevention data is kept only as needed for that purpose.
- Subscription and consent records are kept while needed to manage optional emails and demonstrate the choice made. We may retain a minimal record of an unsubscribe to respect it.
- Technical logs and cookie choices are kept only for the period needed for their security, operational or stated purpose. Third-party providers may apply their own retention schedules, which should be checked in their notices.
If you ask us to delete information, we will assess the request and explain if a legal or other valid reason means we must retain part of it.
Your Data Protection Rights
Depending on the circumstances, you can ask us to:
- give you a copy of the personal information we hold about you;
- correct inaccurate or incomplete information;
- delete information;
- restrict or object to certain uses of information; and
- provide information in a portable format where that right applies.
Where we use information based on consent, you can withdraw that consent at any time. Withdrawal does not make earlier lawful use invalid. Rights are not absolute, and we will explain if an exemption applies. We may need to verify your identity before giving access to or changing personal information.
Send requests to contact@myhotips.com. We will respond within the time required by UK data protection law.
Your Right to Object to Direct Marketing
You can object to the use of your personal information for direct marketing at any time. Use the unsubscribe link in an optional email or write to contact@myhotips.com. If you object, we will stop using your information for that purpose and keep only what is needed to honour your choice.
Data Protection Complaints
If you are unhappy with how MyHotips has used your information, email contact@myhotips.com with the subject Data protection complaint. Please explain what happened and how you would like us to put it right. We will acknowledge your complaint within 30 days, investigate it appropriately, keep you informed where needed and explain the outcome.
You can also complain to the UK Information Commissioner's Office (ICO): ico.org.uk or 0303 123 1113. You do not have to accept our response before contacting the ICO.
Security and Data Breaches
We use appropriate technical and organisational measures to protect personal information, including access controls for account and contact information. No online service can guarantee absolute security.
If a personal data breach occurs, we will assess it and notify the ICO when the law requires. If it is likely to result in a high risk to affected people's rights and freedoms, we will also inform them without undue delay.
Children
MyHotips publishes general Money and Wellness content and does not ask visitors to provide sensitive details about children through the contact form. If you believe a child's personal information has been supplied to us and you would like us to review or remove it, contact contact@myhotips.com. We will assess any request in light of UK data protection law and the child's interests.
Changes to This Policy
We will update this page when our practices or legal requirements change and revise the date at the top. Where a change materially affects how we use information already collected, we will bring it to people's attention as required. Updating the policy does not, by itself, enrol anyone in optional marketing emails.
